Job Summary:

We are seeking a dedicated and proactive Executive Assistant to join our growing team. The Executive Assistant will provide highlevel administrative support to the executives ensuring efficient operations and effective communication within the organization. This role involves managing schedules facilitating contract renewals handling basic bookkeeping and marketing tasks and coordinating various administrative activities.

  • Manage and maintain executive schedules including appointments meetings and travel arrangements.
  • Facilitate and document contract renewals ensuring all deadlines are met and necessary paperwork is completed.
  • Upkeep and update documents and templates ensuring accuracy and accessibility.
  • Handle basic bookkeeping tasks including invoicing expense tracking and financial reporting.
  • Assist with basic marketing activities such as creating promotional materials coordinating campaigns and managing social media accounts.
  • Oversee ticket management including followups and internal liaising with the Tech staff.
  • Prepare and edit correspondence reports and presentations.
  • Coordinate and organize internal and external meetings including preparing agendas and taking minutes.
  • Manage and maintain office supplies and equipment.
  • Provide general administrative support such as answering phones filing and data entry.
  • Handle confidential information with discretion and professionalism.

    Requirements

    Requirements/Skills Needed:

    • Bachelor s Degree in Business Administration Communications or a related field.
    • At least 3 years of experience as an Executive Assistant or in a similar administrative role.
    • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other relevant software.
    • Strong organizational and time management skills.
    • Excellent written and verbal communication skills.
    • Ability to multitask and prioritize effectively in a fastpaced environment.
    • Strong attention to detail and accuracy.
    • Ability to work independently and as part of a team.
    • Basic knowledge of bookkeeping principles and marketing concepts.
    • Experience with ticket management systems is a plus.
      Additional Job Details:

      Setup and Location: Officebased/Hybrid (Ortigas Alabang Pampanga or Cebu)

      Work Schedule: 9:00 AM to 6:00 PM (QLD) 7:00 AM to 4:00 PM (PH Time)

      Employment Type: Fulltime

      All interviews and other hiring requirements are done virtually or through video calls or emails.
