JOB DESCRIPTION: Virtual Assistant Administrative
Purpose: The position is responsible for providing a range of timely and accurate administrative support. This position is responsible for supporting the team to help them stay organized and complete tasks that allow them to focus on more advanced responsibilities. The role is integral to the success of the group
Duties and Responsibilities:
File Management
Rostering
Onboard employees to Visual Care
Ensure all details and information that is entered into Visual Care is current and accurate
Managing timesheets
Schedule appointments and maintain calendars
Schedule and coordinate staff and other meetings
Answers emails in a timely manner
Prepare communications such as memos emails invoices reports and other correspondence
Write and edit documents from letters to reports and instructional documents
Create and maintain filing systems
Respond to service enquiries and requests
Communicate and liaise with key stakeholders services users families staff and advocates
Requirements
Qualifications:
Must have a relevant experience in Administrative and Rostering support
Strong communication and interpersonal skills
Great attention to details
Highly organized with good attention to detail
Experience in establishing and maintaining effective administrative systems and processes
Ability to work autonomously and as a team member
Knowledge of the NDIS industry
Experience in using Visual Care is a MUST
Qualifications and Experience: – Bachelor s degree in Marketing, Information Technology, Business Administration, or a related field. – Minimum of 7-10 years of experience in marketing, IT, or a similar executive role. – Proven experience in developing and implementing successful marketing strategies. – Strong expertise in IT infrastructure, web development, and graphic design. – Advanced proficiency in Microsoft Office tools and other relevant software. – Exceptional English language skills, both written and verbal. – Strong analytical, problem-solving, and decision-making abilities. – Excellent leadership and team management skills. – Ability to work under pressure and meet deadlines in a fast-paced environment. Preferred Skills: – Experience in the [industry] sector. – Knowledge of CRM systems, ERP platforms, and other business software. – Certification in project management or IT-related disciplines.
